What the carrier checks
At check-in, the carrier validates the GMR and compares the transport-unit information. The tractor registration is not always the only relevant identifier: trailer or container details can matter depending on the movement. A mismatch with the actual vehicle can result in refusal at check-in.
A last-minute trailer change
If dispatch changes a trailer after documents are prepared, notify the GMR owner. Editing the driver’s message alone is insufficient. Check whether the reference can still be amended and compare the updated details to the booking. Do not create a replacement reference without resolving the previous one.
Responding to a rejected check-in
Record the carrier’s exact message and current vehicle details. Send these to the responsible declarant rather than simply saying the code does not work. Establish whether the issue concerns the GMR, a declaration reference or the booking. These problems require different actions; there is no universal fix.
Before you commission the work
- Check GMR validity before arrival.
- Compare tractor, trailer or container details.
- Confirm the crossing and direction.
- Keep the exact rejection message.
What to watch out for
A visible barcode is not proof that the data is correct. Sending several barcodes without identifying the current one increases the risk of error.
